Interactive services and competitions

Privacy notice

Hinckley & Bosworth Borough Council (HBBC) regularly run interactive services; these can be competitions, prize draws or online polls. This privacy notice applies when you participate in any of our interactive services.

When we run an online competition, prize draw or poll, you may be asked to submit some basic information about yourself, such as your name, email address and phone number. Submitting your personal data will be taken by HBBC as your consent to participate in the interactive service, and the service may only be available to you if you provide us with the data requested.

HBBC collects, uses and is responsible for this information as we are the ‘data controller’ for the purposes of data protection laws under the Data Protection Act 2018.

How we use your personal information

Data collected will depend on the type of interactive service, but typically may include:

  • Name
  • Landline phone number
  • Mobile phone number
  • Postal address
  • Email address
  • Other personal data you provide as part of your entry

Winners are selected at random; we anonymise any personal data and use an automated winner picker to ensure that the selection is fair.

How long your personal data will be kept

Personal data of all non-successful entrants will be destroyed following the selection process. We will hold the winner’s personal information securely by retaining their name and contact details to be able to administer the competition or prize draw and to present the winner with their prize.

We may also wish to invite the winner to events to promote their win. After this time the personal information will be securely destroyed.

We will rely on the consent of the winners to process their personal information. If the winner is 13 or over we will seek their consent prior to the promotion stage. If they are under 13 or have difficulty in making their own decisions, we will seek consent from a parent/guardian.

Photos and recordings may be placed online and enter the public domain. This is done with your consent; which you can withdraw at any time. If you withdraw your consent after the photographs have been put online, if we are able to we will remove your photograph from our social media and/or our webpage.

Who we share your personal information with:

  • Pseudonymised (anonymous) information may be passed to a judging panel
  • HBBC’s Press Office in order to issue press releases, photos and information of name, age (date of birth), town and a summarised story
  • The Communications Team, to announce the winner(s) on social media and/ or our webpage

Your information will not be shared with any third party without your consent unless we are required to do so by law.
